Coordinates and manages the various activities concerned with dispatching aircraft on scheduled flights and controlling flight movements on routes.

Responsibilities

Logistics for aircraft, crew, and passengers:

  • Schedules and plans executive travel on company aircraft in compliance with FAA and company regulations.
  • Ensures efficient use of aircraft, and when necessary, explores alternative lift options.
  • Ensures aircraft schedules meet with any airport/ airspace restrictions.
  • Coordinates aircraft handling with fixed based operations.
  • Maintains and updates aircraft and crew schedules.
  • Coordinates trip logistics for flight crew and passengers to include catering, hotel ground transportation and special requests.
  • Schedules flight crew to ensure compliance with company and FAA regulations regarding currency, flight and duty times, including balancing workloads and ensuring work/life balance.

Recordkeeping:
  • Maintains department records to include flight, manifest, maintenance, insurance and personnel, to ensure accurate reporting, currency and accounting issues.
  • Monitors and tracks crew and passenger passport and visa expirations to ensure no interruption of international travel occurs.
  • Ensures all flown flight details are posted for accurate aircraft documentation. Maintains passenger profiles to ensure accurate and current information.
  • Schedules when needed and maintains records of FAA medicals, immunizations, and audiograms for crew members.
Pre-flight preparation:
  • Obtains for both passengers and flight crew any necessary permits, and assists with visa applications when flying into and out of foreign countries. Prepares trip packets for domestic and international flights.
  • Performs dispatch brief and debrief with flight crews to share information regarding passenger needs or requests. Acts as an effective liaison between management and flight crew.
Professional development:
  • Coordinates crew training to best accommodate flight schedule. Remains current on resources available and training opportunities to facilitate an effective scheduling operation. Masters and maintains complex computer software related to flight dispatching and logistic support. Knows international procedures, permits and restrictions, and coordinates with outside aircraft services handler for international flights, as needed. Keeps abreast Federal Aviation Regulations and company policies to remain compliant with same in all operations.
Administration:
  • Provides administrative support to the department.
  • Coordinates scheduled and non-scheduled aircraft maintenance with the maintenance department manager.
  • Establishes and maintains relationships with outside vendors to include logistical support, i.e., fixed based operators, handlers, ground transportation, caterers, etc.
  • Obtains any required AROs, and reviewing NOTAMs and TFRs.
  • Maintains evolving company operations manual and emergency response plan.
  • Establishes working relationships with executive officers and their assistants.
  • Maintains a flight following system to ensure safety of flight. Participates in IS-BAO and other internal/external audits.
  • Provides accounting services and manages costs, SIFL/ IRS/SEC reporting, auditing and report generation, including submitting invoices for payment, processing chargebacks and participating in annual budget preparation. Knows company aircraft performance and company operations manual to make appropriate recommendations to traveling executives.
  • Maintains passenger profiles to ensure accurate and current information.
